The Role
This is not a generic admin position.
You will be responsible for ensuring:
Every lead is responded to quickly
Every consult is booked and confirmed
Every follow-up happens
Every client receives timely communication
No opportunity falls through the cracks
You will support sales, manage pipeline flow, and maintain client documentation processes.
You will be free from setting pricing or strategic marketing decisions.
Key Responsibilities
Lead Management
Respond to new inquiries within 10 minutes (during business hours)
Send pricing guides and qualifying questions
Book consult calls
Log and update CRM records
Sales Support
Confirm consult appointments
Send post-consult follow-ups
Issue invoices
Follow up on unpaid deposits
Maintain accurate pipeline stages
Client Communication
Send wedding preparation documents
Collect timelines and shot lists
Ensure required forms are completed
Maintain a professional and warm tone across all communication
Content Support
Upload blog posts
Format and schedule content
Maintain document templates

Strong written communication skills
Highly organised and process-driven
Comfortable using CRM systems
Able to manage multiple conversations simultaneously
Calm and professional under pressure
Emotionally intelligent
Desirable:
Experience in weddings or events
Sales or client-facing experience
Familiarity with Studio Ninja, ClickSend, Mailchimp
Onboarding is in person in our North Logan home studio with an eventual transition to remote based on performance and business needs.
Initially is a subcontractor role as the business restructures but will have the option and preference to move to a full-time employee.

Budget Wedding Stories is scaling toward 1,000 weddings in 2026. We specialise in affordable, efficient wedding photography and videography across South East Queensland and Australia. We are building a high-volume, high-efficiency wedding engine and need a structured, fast, detail-oriented operator to help manage our client journey and sales pipeline.
